Connect Insyder to Zapier

Use Insyder data and actions in your Zaps. The private integration includes 51 API actions and searches and 17 instant triggers.

Zapier is included in the Entrepreneur and Scaling plans. Your workspace must have active access and an assigned seat.

Add the integration

  1. Sign in to the Zapier workspace where you want to build your automation.
  2. Open the Insyder invitation and accept it.
  3. Create a Zap and select Insyder (1.0.0).
  4. Select an event or action, then connect your Insyder account.
  5. Choose Continue with Google if your Insyder account uses that Google address, or sign in with your usual Insyder email and password. Complete MFA if requested. Password recovery uses the existing Insyder account. Google cannot create an Insyder account here: create it in the Insyder app first.
  6. Select one Insyder workspace. Reading is included; approve the additional write permissions if your Zap needs them.

You can also start from Insyder → Settings → Connections → Zapier → Connect. Each person manages their own Zapier connections. You do not need to manage the workspace's Instagram connection to connect your own Zapier account.

The connected account label shows the selected workspace, your email, and whether write permissions were approved. Connecting another workspace requires another connection. The grant expires after one year. Zapier refreshes short-lived access tokens automatically while the grant is valid.

A new connection can take a few minutes to activate. If Zapier asks you to wait, retry the test shortly; you do not need to reconnect.

Choose a trigger

Instant triggers deliver newly recorded business events after the Zap is enabled:

  • Leads: New Lead, Lead Updated, Lead Status Changed, Lead Score Changed.
  • Instagram data: New Interaction, New Imported Content, New Workspace Snapshot, New Content Snapshot, New Highlight, New Highlight Item.
  • Sales: New Product, Product Updated, New Purchase, New iClosed Call, iClosed Call Updated.
  • Processing: Data Collection Completed, Export Finished.

Trigger filters narrow the events before delivery. Lead Updated can watch specific changed fields; changes to refresh timestamps alone do not trigger it. Lead Score Changed ignores a repeated score and confidence level. Export Finished only delivers your own exports and requires export permission.

Test trigger reads up to five current matching records from the selected workspace. These are marked as samples. It does not run an Instagram analysis or create business data. If there are no matching records, create or import one through the normal Insyder workflow, then test again.

Bulk imports and retries

Every matching committed record is queued separately. A large import is processed in batches until the backlog is delivered; it is not truncated to a polling page. Delivery usually starts within a few seconds. Zapier throttling or a backlog can delay it.

Delivery is at least once. Network retries can deliver the same event more than once. Delivery Event ID remains the same on every retry. Map it to Unique Request ID for an Insyder creation action, or use the destination application's equivalent deduplication field. API creation requests retain their idempotency result for 24 hours.

Turning off a Zap unsubscribes it. Disconnecting an Insyder grant or losing workspace membership stops queued deliveries. Permanent delivery failures remain available to the Insyder operator for investigation and replay.

See the complete Zapier catalogue for every trigger, action, description, and input field.

The integration covers all endpoints in the API reference: workspace data; leads and their history; content; interactions; products; purchases; runs; snapshots; highlights; iClosed calls; competitors; analytics; and exports.

  • Find … by ID: return one matching record, or no result. Select from available dropdowns or map an ID from an earlier step.
  • Find Lead by Email: map the email address from an earlier step. The search matches the exact email in the connected workspace, ignoring case and surrounding spaces, and returns the lead's details and ID. An unknown email returns no result. If multiple leads share the email, select the intended record with Find Lead by ID. Use the returned Lead field in Update Lead or Record Purchase.
  • List …: return an Items list and Next Cursor. Each action returns one page, up to 200 records. Pass the cursor and keep the same filters for subsequent pages.
  • Update Lead: change status, email, phone, or notes. For nullable fields choose Leave unchanged, Set value, or Clear value explicitly.
  • Create Product / Record Purchase / Create Export: provide Unique Request ID, an 8–200 character source event/order identifier. Reuse it for retries of the same operation; use a new ID for a new operation.
  • Money: amounts use integer minor units: CHF 12.50 is 1250. An explicit zero remains zero. Purchases can use the catalogue price when the amount is left blank.
  • Products: writes require OWNER or ADMIN. Imported iClosed names and prices remain read-only; their active state can be changed.
  • Purchases: append-only. Recording a purchase can move the lead to Customer.
  • Exports: create a job, then use Export Finished or Get Export Status. Get Export Status provides fresh download links. Jobs/files expire after 24 hours; signed download links last 15 minutes.

Actions return the API's business fields, request ID, and Raw Response JSON. Dates preserve the API's microsecond precision. Optional dynamic dictionary fields remain available in the raw response and Zapier's discovered output.

Permissions and disconnection

Read actions require data:read. Writes require their matching leads:write, products:write, purchases:write, or exports:create permission. Current workspace membership and role still apply. A read-only connection can use read actions and permitted read triggers; reconnect and approve writes before configuring a write action.

Manage or disconnect individual grants in Insyder → Settings → Connections → Zapier → Manage. Disconnecting stops every Zap using that connection. To change the workspace or approved permissions, connect again in Zapier and select the new connection in your Zaps.

The integration exposes the same business capabilities as the API. It does not send Instagram DMs, publish content, create leads, start analyses, or administer other provider connections.
